What does in-house business mail really cost? 7 expenses hidden from the invoice

Business mail costs are often reduced to postage, envelopes and paper. In reality, the largest item may be employee time scattered across many small activities. Because none appears significant alone, their combined impact is easily missed.

1. Processing time

Include collection, sorting, registration, scanning, letter preparation, travel, queueing, returns and archiving. Measure several representative days rather than relying on one person's estimate.

2. Cover and interruptions

Holiday, sickness or urgent work shifts mail handling to someone else. Without planned cover, documents wait and process knowledge remains with one employee.

3. Space and equipment

Printers, scanners, consumables, cabinets, sorting space and secure storage all have a cost, together with maintenance, energy and purchasing time.

4. Errors and rework

A wrong address, missing attachment, incorrect version or missed deadline can require another print and dispatch. More serious cases create complaints, delayed payment or loss of customer confidence.

5. Missing management information

Without data on volumes, returns and processing time, improvement is difficult. Manual month-end reporting is also a cost.

6. Security and compliance

Access control, procedures, training, archiving and incident response require resources even when they sit in separate budgets.

7. Opportunity cost

The most expensive work may be the customer, sales or project activity an employee could not complete while handling routine correspondence.

How should the models be compared?

Calculate monthly labour hours using the full hourly employment cost. Add equipment, space, materials, errors and cover. Compare this total with an external-service price, taking scope, SLA and reporting into account.

A sound analysis does not assume that one model always wins. It reveals where costs arise and which tasks should remain internal or move to a specialist operator.

Frequently asked questions

Should travel to the post office be included?

Yes. Travel, queueing and settlement are working time used by the process.

Is outsourcing always cheaper?

No. The result depends on volume, service scope, automation and the cost of the current process.
